AI for CRM: lead qualification, follow-up and sales automation that a team actually uses

AI earns its place in a CRM in four jobs: qualifying inbound leads against written criteria, drafting follow-ups the salesperson approves, summarising long threads before a call, and flagging deals that have gone quiet. It loses its place the moment it sends a price, a discount or a commitment on its own. I run a CRM product; this is the line customers who keep using it draw.

Qualification

Write the criteria down first — budget signals, company type, urgency, fit. Then the AI reads the enquiry, scores it against the criteria and routes it. The output is a suggestion with a reason, visible to the rep. Hidden scores get ignored.

Follow-up

The AI drafts; the rep sends. Drafts pull from the record — what was quoted, what was promised, when — so the message is specific. A follow-up that says "just checking in" is worse than none.

Summaries

Before a call, a one-paragraph summary of the thread: what they asked, what we said, what is open. This is the least glamorous use and the one reps thank you for.

Quiet-deal alerts

The CRM already knows a deal has been silent for a week. AI adds the "why it might have stalled" and the suggested next message. The rep decides.

Where it hurts

Automated replies with prices. Automated discounts. Any message that commits the business. Put an approval in front of these, on the rep's phone, one tap. Reps stop fighting the system when the system stops acting behind their backs.

Adoption is the real metric

Not accuracy. If the team uses it every day, it is working. If they route around it, no accuracy number will save it. Design for the rep first.
