WhatsApp automation for restaurants: order, reservation and support flows that actually work
Orders, table bookings and "is this dish spicy" questions all arrive on WhatsApp whether a restaurant plans for it or not — the only choice is whether someone is typing replies by hand at 8pm on a Friday, or a system is doing the repeatable part. I run Online eMenu, a restaurant ordering and POS product, and this is the pattern that actually holds up once real order volume hits.
Ordering
A customer messages, gets the menu, builds an order in conversation or through a linked menu link, and the order lands directly in the POS — not retyped by a staff member reading a chat screen. The moment an order is copied by hand from WhatsApp into a till, the restaurant has a bottleneck exactly when it can least afford one: during service.
Reservations
Table requests are answered against real availability, not a paper diary a host is squinting at while the phone also rings. A confirmation goes out automatically; a change or cancellation updates the same record. The rule is the same one behind any automation: keep the decision (can we fit this party in) with a person when it is genuinely close, automate the parts that are just information moving around.
Support and common questions
Opening hours, allergens, delivery radius, whether a dish can be made without a specific ingredient — these repeat constantly and can be answered from approved information without a person typing the same answer for the hundredth time. Anything outside that approved list — a complaint, a large event enquiry, a genuine judgement call — goes to a person with the conversation history attached, not into a queue that starts from zero.
What breaks this in practice
Running the ordering flow off a personal phone instead of the official WhatsApp Business API. It works until the phone is lost, the staff member leaves, or two people try to reply to the same customer at once. The official API plus a shared inbox is not a luxury for a restaurant doing real volume — it is the floor.
Where this connects to the wider system
Restaurants that get this right are running the same architecture that works for any business on WhatsApp: official channel, shared inbox, a system of record, and a human on anything that needs judgement. The restaurant version is just a faster-moving, lower-margin case of the same problem.
